Public project tracking

In publicly funded projects there is something as important as the technical work itself: process management. A missing document, a delayed letter or an untracked approval can stall a well-running project for weeks. Based on our experience, here are five key steps to successful project tracking.

1. Clarify the scope at the start

The contract, technical specifications and annexes are the constitution of the project. Before work begins, review the scope, delivery criteria and acceptance conditions item by item with your team.

2. Prepare a realistic work programme

The work programme is not a formality but the project’s roadmap. A realistic schedule that accounts for seasons, supply lead times and internal approval times reduces surprises later.

3. Keep documents in one place

  • Correspondence, minutes and approvals
  • Quantity surveys and progress payment files
  • Site photos and progress reports

Storing all of these in one place with version tracking saves a great deal of time during inspections and acceptance.

4. Report progress regularly

Short weekly or bi-weekly reports strengthen communication between the administration and the contractor and help spot potential issues early.

5. Prepare for acceptance from day one

List the documents required for provisional and final acceptance at the beginning of the project and complete them along the way, so you are not scrambling for paperwork at the end.

At Atibay Engineering, our project office service manages all of these steps on your behalf.
